DEALER RULES

1. We strongly suggest exhibitors maintain their own tables during the times the floor is open to the public as Dark Woods coordinators and staff will not be held responsible for losses incurred in the event of theft or damage of merchandise. 

2. Payment must be first received before table reservations can be solidified. 

3. The purchase of a booth at Dark Woods will come with two passes per table purchased that will allow entry into any activity on the main floor as well as entrance into special seminars, viewings, etc. (Ghost Hunt not included). 

4. Booths must be set up and prepared for public viewing by 5:00 p.m. ET on Friday and remain set up through Sunday at 4:00 p.m. ET. Late arrivals who have not contacted the event coordinators by 4:00 p.m. ET on Friday are subject to lose their reserved space to those on our waiting list. If you absolutely must arrive late please contact us as soon as possible at 859-333-5430. 


5. Once table assignments have been completed they cannot be changed excepting only extreme circumstances and with the express consent of the event coordinators. Once the space has been purchased and claimed the space can be altered to allow additional racks, tables, banners, etc. as long as they do not exceed the boundaries of the purchased space. Additional visitors to your booth who have not been indicated in advance may need to pay full admission. Please contact us with any questions regarding your space. 

6. Dark Woods has the right to refuse or remove any displays of a pornographic or extremely graphic nature. Please notify in advance if you may have material you think may be questionable. We will review said material for approval.

7. Any dealer displaying disruptive behavior of any sort towards guests, celebrities, event staff, or other vendors will be escorted from the building and barred from this event and all future Dark Woods, LLC events without refund.

8. Due to fire and safety regulations the rules set forth by Landmark Inn will be strictly enforced during this show. Do not remove or reposition Landmark Inn planters, furniture, or equipment. Open Flames, helium balloons, and adhesive backed decals, glitter, or confetti will not be permitted on the event floor. 

9. Please display any signs on easels or hang from pipe and drape using S-hooks. A table will be available for any free or promotional materials to be distributed. Do Not use pins, tacks, or glue on tables, linens, drapery, or walls at any time as repair costs will be incurred by the damage causing participant.

11. Please be considerate of your neighboring tables being careful not to partake in behavior that may be deemed offensive or objectionable to neighboring booths. For those who plan on playing music or films at your table please indicate so on the agreement for consideration when assigning booths.

12. Return checks will incur a non-refundable $35.00 fee and will result in loss of space. 

13. Only in the event of a natural disaster or cancellation of the event by the event coordinators will refunds be given. Once payment has been received there will be NO REFUNDS on the agreed space.

14. Liability Waiver: Vendors agree to discharge Landmark Inn, Darkwoods, and it’s staff from any suits or claims based on property/possession loss or damage.

DEALERS ROOM SPECS
Each table / booth space is 10 feet x 10 feet.

All booth spaces include the following:

One 8 foot skirted table
2 chairs
Side, back pipe and drape of a color chosen by event staff.
2 Weekend passes along with 2 VIP Party passes
All other items such as telephone, internet, electrical connections, extra chairs, and other items will be paid for by the vendor / dealer and can be purchased from the Landmark Inn. They will send out a packet before the event with those details.
